What happens to the details you give us when you ask for a quote or get in touch, and what we record when you visit this website. Short version: we use them to quote and make your work, we share them only with the people who need them to do that, and we do not sell them to anyone.
Who we are
Roman Road Group Ltd ("we", "us") trades as Ferruma. We supply made-to-measure metalwork and steel fabrication to customers in the United Kingdom. We are the data controller for the personal data described in this notice.
Contact: edgars@ferruma.co.uk, +44 7481 454 999, Leyland Business Park, Farington, Leyland PR25 3GR, United Kingdom.
What we collect
When you request a quote or contact us, we collect what you type into the form: your name, email address, phone number, postcode, company name if you give one, and any drawings, photos or files you attach. We also record the date and time of your enquiry, the page you first came to, and where you came from (for example a search engine, an advert or a link we sent you).
If you go on to place an order, we collect the delivery address, invoicing details and correspondence needed to make and deliver the work.
When you visit the website, what we record depends on your cookie choice (see Cookies below). We never record your full IP address, what you type into a form before you send it, or your key presses, and we do not record your screen.
We do not collect payment card details through this website.
Why we use it
To prepare and send you a quote, answer your questions, and if you order, to produce, deliver and invoice the work. This is necessary to take steps at your request before entering into a contract, and to perform that contract.
To keep records of quotes and orders for accounting, warranty and product-traceability purposes. This is our legitimate interest and, for accounting records, a legal obligation.
To understand how the website is used and which of our pages, links and adverts lead to enquiries, so we can improve the site. Simple page counts are our legitimate interest; following a visit across pages needs your consent (Statistics), and advert measurement needs your consent (Advertising).
We do not use your details for marketing unless you have asked us to keep in touch, and you can withdraw that at any time by emailing us.
Links we send you
If one of our team sends you a link to a page of this website, the link carries a short code (for example ?n=K7Q2M9AB). When you open it, our server notes that the link was opened, which page and when, so the person who sent it knows you have seen it. Nothing is stored on your device for this, and the code is removed from the address once the page opens, so a copy you forward does not count as you.
If you also accept Statistics, your later visits are linked to the same contact in our customer records. This is our legitimate interest in following up an enquiry or a conversation we have already had with you. You can object at any time by emailing us, and choosing Reject all stops everything except the link note itself.
Who sees it
Enquiries and visit records go into our own customer system, which our team uses to answer you. The website and that system are hosted by service providers acting on our instructions. Drawings and specifications are shared with the production teams that make your work, under contract and only as far as needed to make it. Delivery details are shared with the haulier who delivers it.
Google receives data from this website only if you accept Advertising, and only once we run Google adverts: then the Google Ads tag measures whether an advert led to an enquiry. We never send Google your name, email address or phone number.
We do not sell personal data and we do not share it with anyone else unless the law requires it.
How long we keep it
Enquiries that do not become orders are deleted after 12 months.
Order records, including drawings, are kept for 7 years after the order, which is the period required for accounting records and covers the structural-warranty life of the work.
Page counts made before you choose are kept for 30 days and then only as daily totals with nothing about you in them. Visits followed with your Statistics consent are kept for 13 months. A visit linked to an enquiry, an order or a contact in our records is kept as long as that record.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it, ask us to delete it where we no longer need it, and object to our use of it, including the recording of your visits. To do any of these, email us at the address above. We will reply within one month.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
